1. The Personal Data We Collect

We collect personal data necessary to be able to provide our recruitment services to you, either as a client or candidate.  This information typically includes your:

  • Name;

  • Address;

  • Email address;

  • Telephone number;

  • Job title;

  • CV;

  • Right to work;

  • IP Address;

  • Publicly available professional profiles (LinkedIn or Twitter);

  • Professional website URL;

  • Current employer;

  • Other information you have supplied to us either verbally or in writing that directly relates to the recruitment services we provide;

  • Employment references (only after receiving your explicit consent).

We may also collect other sensitive personal information about you that you have submitted to us directly (only after receiving your explicit consent). 

2. How We Collect Your Personal Data

We collect your personal data from:

  • You Directly

e.g. information you submit to us directly either verbally or in writing when making use of our recruitment services. 

  • Our Website

e.g. accepting cookies, completing a contact request form or applying for one of our jobs.

  • Our CRM System

We use Hubspot, a CRM system that helps us provide you with a more relevant and tailored recruitment service.  Hubspot can track and record your usage and interaction with our website and emails. This information is recorded, stored and analysed to determine how we might better offer our services to you. We do not share this information with any other business.

  • Publicly Available Professional Profiles

e.g. LinkedIn or Twitter.

  • Third Party Job Boards

e.g when applying for a job listed on a relevant job board.

  • Direct Referrals

e.g. a recommendation made by a friend or former employer/colleague. 

3.  How We Use Your Personal Data

We will use and disclose your personal data for the following purposes:

  • to provide our recruitment services to you;

  • to allow you to submit your CV for job applications or to subscribe to job alerts;

  • to match your experience with relevant job openings and to send your personal data to clients (only after receiving your explicit consent);

  • to maintain our professional relationship with you, and notify you about relevant job openings in the future;

  • to keep you aware of industry updates, events, reports and other relevant information;

  • to fulfil any contractual obligations with our clients;

  • to provide personal data to regulatory or law enforcement agencies, if we are required to do so.

4. How Long we Retain Your Personal Data

As we often support our clients and candidates throughout their careers, retaining personal data can be an ongoing process.  However, it’s important to note that we conduct regular data updating and cleansing exercises to ensure the accuracy of the data, and that we still have a legitimate reason to hold on to it.

  • We will retain data on clients and candidates for no longer than five years after our last mutual contact.

  • We will retain data on contractors for no longer than seven years after our last mutual contact. 

5. Who We Share Your Personal Data With

We share your personal data with the following parties:

  • Clients

 We will share your personal data with clients who have job openings in which you are interested (only after receiving your explicit consent).

  • Trusted Third Parties

We share your personal data with third parties we have retained to provide services to us, and who act as data processors on our behalf. We require a minimum standard of confidentiality and data protection from any such third parties.  These third parties are:

GSuite, Google Analytics & Google Drive - used for email, analysis of the traffic across our website, and the storing and creation of electronic documents and personal information. Google's Privacy Policy can be viewed here.

Hubspot – our Customer Relationship Management Software-as-a-Service provider. Hubspot's Privacy Policy can be viewed here.

  • Regulatory and Law Enforcement Agencies

We will share your personal data with regulatory and law enforcement agencies if required to do so.

  • New Business Owners

If our business merges with or is acquired by another business, we may share your personal information with the new owners and their advisors.  If this takes place, you will be sent advance notice of any such event. 

6. Transferring Your Personal Data Outside of the European Union

As part of the services we offer to you, the personal data you provide to us may be transferred to countries outside of the European Union. This may happen if any of our data processors' servers are located in a country outside of the EU. These countries may not have similar data protection laws to the UK. By submitting your personal data, you’re agreeing to this transfer, storing or processing. If we transfer your information outside of the EU, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this Policy.

These legitimate interests include informing you about our products and services and optimising our website and customer experience in order to better our service to you;

Please note that we do not carry out automated profiling of any kind.

You have the right to object to or restrict our processing of your personal information, including the right to object to direct marketing of any kind, at any time.

You have the right to instruct us to transmit any personal information that we hold about you in a clear to understand and commonly used format to any third party, at any time.
